Tool Ecosystem MapHOW EVERYTHING FITS
Each tool has a distinct lane. They are designed to work alongside each other — not replace each other. Here's exactly what each one does, what it doesn't do, and how they connect.
KaiBoss OS
kaiboss-os.vercel.app
Your personal command center. Zone-setting, daily priority, open loops, agent queues, session notes.
What it does: Captures your current state at session open/close. Sets the zone and #1 priority. Tracks open loops across all divisions. Routes tasks to the right agent queue (Chief / GPT / VS Code). Syncs state to Notion via button.
What it doesn't do: Deep project tracking, pricing reference, client pipeline, or checklists — that's this tracker.
Relationship to Master Tracker: KaiBoss OS is your daily cockpit. Master Tracker is your project reference and build log. Open KaiBoss OS first every session. Open Master Tracker when you need to check status on a specific client, build phase, or pricing question.
Future merge: When GHL is stable, KaiBoss OS will absorb this tracker as a zone — GHL becomes the client interface, Notion becomes the backend.
DAILY USE NOTION SYNC VERCEL HOSTED
EYCC Sync Center v3
Google Apps Script
EYCC Division 1 operations dashboard. Revenue, cash, AP/vendors, agreement KPIs, catering pipeline, marketing.
What it does: Tracks EYCC financials in real time. 10-tab HTML app synced to Google Sheet backend via saveState/getLatestState. Tracy-accessible. Wednesday 2pm sync anchor.
What it doesn't do: Anything outside EYCC. No KiNETiQai client data. No build tracking.
Relationship to Master Tracker: Completely separate. EYCC Sync Center = Division 1 tool only. Master Tracker = Division 7 KiNETiQai operations. They don't overlap — don't merge them.
When to use: Every Wednesday sync with Tracy. When pulling QB numbers. When checking agreement KPIs or catering progress.
D1 EYCC ONLY GOOGLE SHEET SYNC SEPARATE LANE
TMS Call Brief v3
Standalone HTML
Live call guide for Palmier TMS sessions with Brandon + Jason. Card-based, collapsible stops, flag system, timer, export.
What it does: Guides you through TMS calls in real time. Shows the agenda, flags things to capture, has a timer, lets you export notes post-call.
What it doesn't do: Track the broader TMS engagement, store decisions long-term, or connect to Notion.
Relationship to Master Tracker: Call Brief is the in-call tool. Master Tracker is the post-call record. After each call, bring findings to Chief → Chief updates the client card notes in this tracker and the Notion session handoff.
When to use: Open Call Brief v3 immediately before every TMS call. Close it when the call ends. Bring findings to Chief.
TMS CALLS ONLY IN-CALL TOOL NO NOTION SYNC
GHL Launch Sprint
Standalone HTML
5-track sprint board for the GHL initial buildout: Branding, GHL Setup, TMS Build, Profile Tech Pitch, KiNETiQai Pipeline.
What it does: localStorage checklist across 5 GHL-specific build tracks. Progress bars per track. "Generate Summary" button → copy/paste to Chief → Notion sync. Ephemeral — localStorage only, intentionally not Notion-synced.
What it doesn't do: Ongoing client tracking, pricing reference, or build phases beyond the initial GHL sprint.
Relationship to Master Tracker: GHL Sprint is a time-boxed sprint tool for the GHL launch period. Once the sprint tracks are complete (Branding done, GHL Setup done, TMS Phase 1 done, Profile Tech pitch sent), retire the Sprint file. Those completed items graduate into this Master Tracker as client notes and build phase completions.
Status: Still active — Sprint tracks not yet complete. Run both in parallel until Sprint is retired.
GHL SPRINT ONLY ACTIVE · PARALLEL RETIRE WHEN COMPLETE
Master Tracker v2
This file
KiNETiQai Division 7 project reference. Client pipeline, KaiBoss build sequence, pricing, stack, GovCon scanner plan.
What it does: Central reference for everything KiNETiQai: who the clients are, where each build phase stands, what the pricing is, what the stack looks like, and what's queued for GovCon. Dynamic checklists with notes per item. Chief Summary generator.
What it doesn't do: Real-time session management (that's KaiBoss OS), EYCC financials (that's Sync Center), live call guidance (that's Call Brief), or time-boxed sprint tracking (that's GHL Sprint).
When to use: Open at the start of any KiNETiQai work session. Check client NIAs. Update build phase completions. Add notes after calls. Generate Chief Summary before logging out.
D7 KINETIQAI THIS IS YOUR REFERENCE HUB
SOP — How to Use This TrackerREAD THIS FIRST
When to open it
At the start of any KiNETiQai work session
Open Master Tracker whenever you're about to work on KiNETiQai client or build work. It's your reference — not your cockpit (that's KaiBoss OS). Sequence: Open KaiBoss OS first to set your zone and priority → then open Master Tracker to check client NIAs and build phase status for that session.
Tab 01 · Clients
After every client interaction — update the card
After a call or email: Find the client card → click "Notes" → add what happened, what was decided, what the new NIA is. Change the progress status if something moved. Adding a new lead: Click "+ Add Client" → fill in name, priority, vertical, contact info, and NIA. Rule: Every client card should always have a current NIA. If it doesn't, something is stale.
Tab 02 · KaiBoss Build
Check off items as you complete them — add notes when blocked
Completing a task: Click the checkbox row to mark done. If blocked: Click "Notes" → set status to "Blocked" → describe what's blocking. Adding a new build task: Click "+ Add Task" in the relevant phase → fill in the label and optional context. Rule: If you finish a build phase, bring the completion to Chief → Chief logs it in Notion session handoff.
Tab 05 · GovCon
Don't touch until SAM.gov UEI is active — then work top to bottom
The checklist is gated. Item 1 (SAM.gov UEI active) must be checked before anything else starts. Once it's checked, work down the list sequentially. Each item feeds the next. Bring VS Code build output back to Chief after each item.
⚡ Chief Summary button
Generate before every session close or major handoff
When to use it: End of a KiNETiQai work session, before bringing findings to Chief, before a client call, or any time you need a status snapshot. What it produces: A formatted summary of all client statuses, build phase completion %, notes on blocked items, and open NIAs — ready to paste directly into a Chief session. How to use it: Click "⚡ Chief Summary" tab → review the generated text → copy → paste into Chief chat with "Chief — here's my tracker summary, what's the NIA?"
Adding items
Any tab with a "+ Add" button supports custom rows
Clients tab: add new leads or clients. Build tab: add tasks to any phase. GovCon tab: add scanner tasks. Rule for adding: Only add items that have a clear owner (you) and a clear NIA. Don't add vague backlog items — keep this tracker actionable, not a dumping ground.
Relationship to your other tools
Each tool has one lane — don't merge them
KaiBoss OS (kaiboss-os.vercel.app) — daily cockpit, zone/priority/open loops. Open this first every session. EYCC Sync Center v3 — Division 1 only. Wednesday syncs and QB pulls. Completely separate lane. TMS Call Brief v3 — in-call tool for Palmier TMS sessions only. Open before every TMS call, close when call ends, bring findings here. GHL Launch Sprint — active parallel tool. Run both until Sprint tracks are complete, then retire the Sprint. See Tab 06 · Tool Map for the full breakdown.
Saving your work
This tracker uses localStorage — it saves automatically in your browser
Checkboxes, notes, status changes, and new items all save to localStorage in the browser you're using. This means: If you open the file in a different browser or on a different device, your data won't be there. Solution: Always use the same browser on the same device. When you generate a Chief Summary and paste it to Chief, that becomes your cross-device backup in Notion. Do not rely on this file as your only record — Notion is the system of record.
When to bring Chief in
After every build phase completion or client status change
This tracker is your working reference. Chief is your sync and decision layer. Rule: When you complete a build phase → bring Chief Summary to Chief → Chief updates Notion session handoff. When a client status changes significantly (deal progresses, proposal sent, first payment received) → bring to Chief → Chief logs the decision and updates the handoff.
